A.I. Policy & Compliance Kit

Inventory your A.I. tools, tell customers the truth, vet vendors, handle mistakes and track the laws. Fill-in templates for small businesses.

What it helps you finish

Write the A.I. disclosures your customers see: a website chat banner, a first message for chat or text, a phone greeting and a truthful answer to "Are you a bot?" (8 fill-in variants in Template C). Then put the rest in writing: an A.I. use policy, a register of your A.I. tools, vendor questions and an incident plan.

Twelve fill-in templates for using A.I. responsibly in a small business: an expanded A.I. use policy, employee acknowledgment, customer-facing A.I. disclosures (chat, phone, email, images, privacy policy), a 17-question vendor questionnaire, incident runbook, content sign-off, marketing-claims checklist, hiring and employee A.I. notices, training log, quarterly review and A.I. use register. Plus a plain-English map of the federal rules that already apply and a state A.I. law watchlist as of 2026-10-18. Not legal advice; not attorney-reviewed.

Who it's for

  • Small businesses that use, or are about to add, an A.I. chat, text or phone assistant for customers
  • Owners or office managers asked to write down how staff may use A.I. tools
  • Teams that want vendor questions and an incident plan ready before something goes wrong

Not for

  • Anyone who needs legal advice or an attorney-reviewed compliance program (this kit is neither)
  • Regulated health or finance compliance programs
  • Businesses outside the U.S. looking for their own country's law notes (the law chapters cover U.S. rules, dated 2026-10-18)
  • Anyone who only wants a general starting point: free government resources may be enough (see "Are there free alternatives?" below)

What you get

  • 12 fill-in templates, also supplied as a separate editable Word file (each template starts on a new page; some run longer than one page)
  • Expanded A.I. Acceptable Use Policy with a data traffic light that covers uploads, connected mailboxes and drives, and call recordings, not just pasting
  • Customer-facing disclosure wording for website chat, text and phone assistants, including a truthful answer to "Are you a bot?" and recording consent before recording
  • Vendor due-diligence questionnaire (17 questions: training on your data, retention, deletion, BAA, subprocessors, admin controls, export) and an approval record
  • Incident runbook: report, record, contain, delete, notify, with a fill-in report
  • The federal rules that already apply (FTC advertising and reviews rules, TCPA and the FCC's 2024 A.I.-voice ruling, CAN-SPAM, HIPAA, recording consent, copyright) and a state A.I. law watchlist (California, Utah, Colorado, Texas, Illinois, New York City) with how to check current status
  • 11 prompts to tailor the templates, a 30-day rollout and a copy-ready TXT of every prompt

Files you download

  • A.I.-Compliance-Templates.docx — Editable templates (Word)
  • ai-policy-compliance-kit-prompts.txt — Copy-ready prompts (plain text)

Before you start

  • Word, Google Docs or LibreOffice to edit the templates (.docx)
  • A list of the A.I. tools your business uses or plans to use (Chapter 2 helps you find them)
  • Before you publish a disclosure, check that your assistant and staff really do what it promises, such as a working way to reach a person
  • A lawyer's review of your final documents. The kit isn't legal advice, and its law notes are a snapshot as of 2026-10-18.

Questions

Is this legal advice? Has a lawyer reviewed it?

No and no. It is an educational kit that has not been reviewed by an attorney. It helps you get organized and prepare specific questions, so a lawyer's review of your final documents is shorter. Laws on A.I. are new and change quickly.

I already have your A.I. Starter Kit for Teams. Do I need this?

Maybe not. The Starter Kit's one-document A.I. use policy is enough for many very small businesses. This kit adds an expanded policy plus the tool inventory, customer disclosures, vendor questionnaire, incident runbook, content sign-off, marketing-claims checklist, applicant and employee A.I. notices, training log, quarterly review and the state law watchlist.

Will this make my business compliant?

No document can guarantee that. The kit gives you the written records and procedures most businesses are missing, and flags the uses (like hiring or decisions about customers) that need a lawyer before launch.

Are there free alternatives?

Yes, and they're worth a look. NIST's AI RMF Playbook is free U.S. government guidance for voluntary use; it suggests actions for managing A.I. risk and is neither a checklist nor a set of steps you must follow. Australia's National AI Centre publishes free A.I. policy and register templates. If you only need a starting point, those may be enough. This kit's difference is ready-to-edit customer disclosure wording for chat, text and phone assistants, plus small-business templates and U.S. law notes in one place. We don't claim it's better for everyone, and none of these is legal advice.

What does a filled-in disclosure look like?

Here's Template C2 filled in for a made-up business, Maple Street Plumbing: "Hi, I'm Robin, an A.I. assistant for Maple Street Plumbing, not a person. I can help with hours, services and booking requests. Type "person" at any time to reach our team." That wording only fits if typing "person" really reaches your team. Check that your own assistant and staff do what each disclosure promises before you publish it.

Which states does the law watchlist cover?

California (bot disclosure; privacy-agency rules on automated decisions from 2027), Utah, Colorado (SB 26-189, effective January 1, 2027), Texas, Illinois and New York City, plus the December 2025 federal executive order. Each entry says how to check its current status. It's a snapshot as of 2026-10-18.

What format is it?

A PDF guide, an editable Word version of the whole kit, a separate Word file with the 12 templates (each starts on a new page), the Markdown source and a plain-text file with every prompt.

Can my staff and lawyer use it?

Yes. Use and adapt it inside your business, including sharing it with your staff and your lawyer. Please don't resell or redistribute the kit itself.

What's your refund policy?

30-day money-back guarantee. If this isn't useful to your business, reply to your receipt email within 30 days of purchase and we'll refund you in full. No questions, no forms.

Do you collect testimonials or show reviews?

This is a new product. We show no testimonials until real customers give us permission, and we never pay for reviews.
